Privacy policy

Effective from 7 October 2026

This policy explains how we handle personal data when you visit legaltranslator.cz or contact us about a translation. We collect only what we need to prepare a quote and deliver the translation.

Who is responsible for your data

The controller of your personal data is Tre Data s.r.o., registered office Škroupovo náměstí 4, 130 00 Praha 3, Czech Republic, IČ 24755184, DIČ CZ24755184. Our office is at Olšanská 3, 130 00 Praha 3.

What data we process

• Contact data you give us by email or phone: name, email address, phone number and postal address if you want the translation sent by post.
• Documents you send for translation and the personal data they contain. Depending on the document, this may include identity data, family status, education, health information or criminal record data.
• Billing data needed to issue an invoice.
• Technical data recorded by our web server when you visit the site, such as IP address, browser type and time of access.

The website has no contact form, no user accounts and no comment section. We do not use analytics, advertising or social media tracking.

Why we process it and on what legal basis

• To prepare a quote and carry out the translation, on the basis of a contract or steps taken at your request before a contract (Art. 6(1)(b) GDPR).
• Documents containing special categories of data or criminal record data are processed only because you send them to us for translation, and only to the extent needed to translate them for use before a public authority or court.
• To meet legal obligations, such as keeping accounting and tax records and the records that court translators must keep under Czech law (Art. 6(1)(c) GDPR).
• To keep the website secure and working, on the basis of our legitimate interest (Art. 6(1)(f) GDPR). This covers the technical server logs.

Who receives your data

Your documents are passed only to the court translator who carries out the translation. We also use service providers who process data on our behalf: our web hosting provider, our email provider and, if you choose delivery by post, the postal service. We do not sell personal data and we do not share it for marketing.

If a provider processes data outside the European Economic Area, this happens only under safeguards required by the GDPR, such as an adequacy decision or standard contractual clauses.

How long we keep it

• Emails and documents sent for a quote that you do not accept: up to 6 months.
• Documents and correspondence for completed translations: for the period required by the rules that apply to court translators and for the period in which legal claims may arise.
• Invoices and accounting records: for the period required by Czech accounting and tax law, up to 10 years.
• Server logs: for a short period set by the hosting provider, usually not more than a few weeks.

Cookies

The site does not use analytics, advertising or tracking cookies, and it does not load content from third parties such as Google Fonts, maps or social media widgets. If any cookie is set, it is a strictly necessary technical cookie used to deliver the page, which does not require consent.

Your rights

Under the GDPR you have the right to:

• access your personal data and receive a copy;
• have inaccurate data corrected;
• have your data erased, unless we must keep it by law;
• restrict processing;
• object to processing based on legitimate interest;
• receive data you gave us in a portable format.

To exercise any of these rights, email info@legaltranslator.cz. We reply within one month.

You also have the right to lodge a complaint with the Czech Office for Personal Data Protection (Úřad pro ochranu osobních údajů), Pplk. Sochora 27, 170 00 Praha 7, uoou.gov.cz.

Changes

We may update this policy when our services or the law change. The current version is always published on this page, with its effective date at the top.
